Cancellation Policy

Cancellation and Attendance Policy

Glenmore Park Dental is an accredited dental practice and we are committed to providing excellent dental care to our patients. By booking an appointment with us you agree to our Cancellation and attendance policy.

When you book an appointment at Glenmore Park Dental, that specific date and time is reserved exclusively for you. Our time and resources are dedicated to treating you at your appointed time. 


Therefore, if you fail to arrive at your dedicated appointment time, this represents a cost to us and is also disrespectful to other patients that may have wanted the time slot that was reserved for you. It is your own responsibility to attend your scheduled appointment time.
 

Cancellations with notice

We understand that sometimes things can arise which may prevent you from attending your dental appointment. If you have provided your mobile phone number when booking your appointment, we will send an SMS reminder the day prior to your appointment requesting that you reply 'Y' or 'Yes' to confirm your attendance. If you are unable to attend for any reason, we request you call our office and let us know, so that we can contact other patients who may want your appointment time.


There is no penalty or cancellation fee if you give us prior notice that you are unable to attend.


However, for patients who demonstrate a pattern of cancellation or rescheduling appointments (2 or more in a row), we will request a $50 non-refundable deposit to book or reschedule an appointment. This $50 deposit will be credited to your dental treatment if you do attend your appointment. If you subsequently cancel, reschedule or fail to attend your appointment with or without notice, you will forfeit the $50 deposit and it will be treated as a cancellation fee. If you request to make another appointment we will request a new $50 deposit which will then be credited to your dental treatment if you do attend.

Failure to attend without giving prior notice

If you make an appointment and subsequently fail to attend your appointment without giving us notice via reply SMS, or phoning the clinic, you will be asked to make a $50 non-refundable deposit if you want to rebook another appointment. This $50 deposit will be credited to your dental treatment if you do attend your appointment.

 

If you subsequently cancel, reschedule or fail to attend this appointment with or without notice, you will forfeit the $50 deposit and it will be treated as a cancellation fee. If you request to make another appointment we will request a new $50 deposit.

If you are over 15minutes late to your appointment without giving us prior notice, it will be considered as a failure to attend.

Saturday appointments

Glenmore Park Dental is open on Saturdays by appointment only, and these appointment times are in great demand. As a result of the high demand of Saturday appointments, a $50 non-refundable deposit will be required to secure your booking. This $50 deposit will be credited to your dental treatment if you do attend your appointment. 


If you cancel or reschedule your Saturday appointment by giving us notice, this $50 deposit will be held on your file as a deposit.


However if you cancel or reschedule 2 times in a row, or fail to attend your appointment without giving us notice, you will forfeit the $50 deposit and it will be treated as a cancellation fee. If you request to make another appointment we will request a new $50 deposit.

What if my dental treatment is fully covered by health insurance, Medicare CDBS, DVA, or a public voucher?

If your dental treatment is covered by a third party (such as Health fund, Medicare CDBS, DVA Veterans Affairs, or you have a public dental voucher), you will still be required to pay a $50 deposit in the above circumstances.

In summary you will be required to pay a $50 non refundable deposit for Saturday appointments, or in the event you fail to attend your appointment or have a history of repeated cancellations or rescheduling appointments, and you request to rebook an appointment. This $50 deposit will be refunded to you if you do attend your appointment (in the case that your dental fees are paid by a third party). If you do not attend your appointment you will forfeit the deposit and it will be treated as a cancellation fee.

How do I pay the $50 non refundable deposit?

You can pay the $50 deposit either in person, or over the phone via a credit or debit card. Your card details will not be stored on file.

Who can I speak with if I am unsatisfied or unhappy with the Cancellation and Attendance Policy?

To ensure our continued high quality of dental treatment and to allow patients to make appointments at their preferred date and time, this cancellation and attendance policy has been created by Dr Jason Lau, the principal dentist and owner of the practice, Glenmore Park Dental. If you have any questions you can ask to speak with Dr Jason via phone.

If you do not receive an SMS reminder for your dental appointment (for example due to phone turned off, poor reception, filtered to spam), it is still your own responsibility to attend your dental appointment that you booked.

This policy is applied to all patients without discrimination to ensure fairness and mutual respect. If you choose not to agree with this policy, we reserve the right to ask you to find another dental practice that may better serve your needs.
